Hours: Part-Time, Monday – Friday, 8:30 AM – 2:00 PM (flexible for parents with morning and afternoon school schedules)

We are seeking a highly organized and motivated individual to join our team as a Full-Time Office Support and Compliance Assistant.
Job Summary:
This role involves a blend of administrative, compliance, and operational support tasks. In addition to handling customer service calls, scheduling services, and assisting with digital marketing efforts, this position will manage key compliance responsibilities, including reconciling time cards, organizing field paperwork, and producing reports. The ideal candidate is detail-oriented, efficient, and enjoys a fast-paced work environment.
Key Responsibilities:
Administrative and Office Support:
- Answer and triage incoming phone calls, directing them to the appropriate team members
- Schedule dryer vent cleaning, carpet cleaning, and other service appointments
- Assist with customer inquiries and service scheduling in coordination with the operations manager
- Follow up on invoices sent to customers to ensure receipt and follow up on payments
- Manage daily laundry in the back of the shop for rags
Compliance and Reporting:
- Reconcile time cards daily, ensuring accurate association with jobs and time data entry
- Conduct daily compliance checks on field paperwork and job folders to ensure all documentation is complete
- Translate written field paperwork into the system to generate professional reports for insured customers
- Ensure that all job documentation aligns with company standards and compliance requirements
Marketing and Business Support:
- Manage company social media accounts, posting engaging content regularly
- Assist with SEO efforts to improve the company’s online visibility
- Provide administrative support for marketing campaigns, including email marketing and online reputation management
Operations Support:
- Work closely with the operations manager to provide field support, addressing any administrative or operational needs
- Assist in organizing and streamlining processes to enhance overall business efficiency
Qualifications:
- Strong experience in administrative or office support roles
- Familiarity with customer service, scheduling, and time management
- Experience managing compliance and documentation processes is a plus
- Basic knowledge of social media platforms and SEO principles
- Strong attention to detail and ability to work independently
- Proficiency in office software (Microsoft Office, Google Suite) and CRM systems
- Excellent communication skills, both verbal and written
Preferred Qualifications:
- Experience with digital marketing and social media management
- Familiarity with restoration or service-based industries
